What Seat-based pricing means
Its appeal is predictability on both sides. A buyer can forecast the cost from headcount without modelling behaviour, and a vendor gets revenue that does not swing with usage. The alternatives — usage-based, tiered by storage, or a flat platform fee — each move that uncertainty somewhere else rather than removing it.
The question that actually determines the invoice is what counts as a seat, and it varies more than buyers expect. Automation accounts, external guests, deactivated people and people who were invited but never signed in are treated differently by different vendors, and a definition that counts all of them can add a fifth to the bill of an organisation with a lot of integrations.
The second question is when a change takes effect. Adding somebody mid-month is usually prorated; removing somebody is often not credited until renewal, which means a team that shrinks keeps paying for a while. Both should be answered before signature rather than discovered on an invoice.
